Siga is a document management software developed by Ambipar to streamline contract renewals, automate email alerts, and manage document approvals. However, its outdated interface and overly complex workflows were causing user frustration and hindering productivity.

Tasked with redesigning Siga, our challenge was to modernize the system while aligning with Ambipar’s updated branding.

Ambipar is a global leader in environmental and emergency response solutions, offering services such as waste management, environmental consulting, and oil spill response. With operations in Brazil and beyond, Ambipar consistently integrates innovation into its services.

Siga, their document management software, is a critical tool for businesses to handle contracts and approvals efficiently.

Siga’s current system posed significant usability challenges. Lengthy and unclear forms, combined with a lack of search functionality, hindered productivity for its primary users.

Our primary goal was to create a solution that streamlined workflows, reduced cognitive load, and offered a visually cohesive interface aligned with the company’s identity.

Understanding the User

Siga serves two main user groups: those responsible for entering data into the system and those who rely on it to retrieve and consult documents.

  • For the first group, the primary pain point was the excessive and unclear data entry process, which required unnecessary steps and lacked guidance.

  • For the second group, the absence of robust search functionality made locating documents time-consuming and frustrating.

By addressing these challenges, we aimed to reduce complexity for data entry users and improve efficiency for those consulting the database, ensuring a smoother and more intuitive experience for both groups.

Design Process

We concentrated on refining key components of the user interface to address usability issues while ensuring the software's functionality met user needs.

  • Sidebar: Simplified icons, improved spacing, and a clear active state indicator made navigation more intuitive and visually clean.

  • Topbar: Enhanced visibility, introduced a notification system, and reorganized the user settings for better usability and personalization.

  • Client Search and Progress Bar: Redesigned the progress bar for clarity and added numeric indicators while making it fully interactive for easier navigation.

  • Data Entry Pages: Grouped fields logically, incorporated auto-fill functionality, and used Ambipar’s brand colors sparingly to enhance readability and reduce cognitive fatigue.

By focusing on these essential areas, we delivered a streamlined and cohesive user experience that reflected the company's values and addressed users’ pain points effectively.

The redesigned Siga system brought substantial improvements in usability, visual appeal, and alignment with Ambipar’s branding. The updated interface streamlined workflows, clarified navigation, and reduced cognitive load, making document management more efficient and intuitive.

Some areas were addressed indirectly to preserve core functionality, such as retaining the required fields for data entry while simplifying user tasks. This approach helped reduce complexity without sacrificing essential details.

The redesign also paved the way for future enhancements, including advanced search features and additional integrations, ensuring that Siga remains adaptable to evolving user needs.
